The daily reality
When the last appointment ends, the pile of case notes begins.
There are ten minutes between two appointments, and the case note for the previous conversation is supposed to happen in them. So it ends up on a scrap of paper, in someone's head, or in the evening. Whatever is lost along the way is missing later in the plan, in the six-month review and in the file that gets opened at the next audit.

Why it matters
Completeness has long been measured. Quality has not.
The German Federal Court of Audit examined advice work in the basic income system and found something every practitioner recognises: in 28 of 126 cases reviewed, no advice conversation took place at all over roughly half a year. Not out of unwillingness, but because between appointments, evidence and deadlines the time for it was never there.
It is measured anyway. The reporting layer above the case system has for years carried a field for the date of the last case note, so the completeness of notes is already monitored automatically. The quality of advice has not improved because of it, and the Federal Court of Audit explicitly considers the sample-based case checks by team leaders too small.
Scrypa Frontline works upstream of the measurement. Speaking the case note right after the conversation, instead of catching up in the evening, leaves you at the end of the day not just with a filled field but with an entry that carries the story: starting point, agreement, next step, ready for the review six months on.
Completeness can be enforced. Time for the conversation only appears when documentation stops costing the evening.

Is the advice session being listened to?
What Scrypa does
Recording starts when the practitioner triggers it, usually right after the appointment. What gets spoken is what should be documented, meaning the outcome of the conversation.
What Scrypa does not do
Scrypa Frontline does not listen continuously, does not start a recording by itself and is not designed as a live recording of the advice session. If you want to record during the session itself, that is your organisation's decision and needs its own legal basis and clear information for the person being advised.
Does the AI decide about benefits or rate people?
What Scrypa does
Scrypa Frontline turns what is spoken into a structured draft along the mandatory fields. The practitioner reviews it, corrects it and approves it, and only then does the entry go into the target system.
What Scrypa does not do
Scrypa makes no decision about benefits, sanctions or referrals. There is no assessment of individuals, no scoring, no employability prediction and no profiling. Those functions are deliberately not part of the product, not even as an add-on module.
What about social secrecy and professional confidentiality?

Social data is protected by social secrecy under § 35 of Social Code Book I, which applies even inside the authority itself. Access is therefore role-based and case-related. As an external provider we accept a formal obligation to secrecy and pass it on to our sub-processors, as § 203 StGB requires.
What Scrypa does not do
We do not treat the data processing agreement as a substitute for that obligation. They are two separate documents, and the notification to the supervisory authority under § 80 of Social Code Book X replaces neither of them.
What happens in an inspection by the regulator or the funder?
What Scrypa does
Inspections are document-based and often unannounced. Scrypa Frontline produces entries with a timestamp and an author along the statutory categories, so the reason, the outcome, the agreement and the next step are evidenced. Retention periods are configured per programme.
What Scrypa does not do
We do not promise that you will pass an inspection. Whether a record is accepted is decided by the auditing body, not by software. Scrypa makes sure the record exists, is complete and is traceable, not that the service itself was delivered.
How does the entry reach our case system?
What Scrypa does
Depending on the system, in three ways: direct transfer into the fields through an available interface, a structured handover for import, or finished structured text that the practitioner reviews and pastes in. The field mapping is set up per organisation.
What Scrypa does not do
Scrypa Frontline does not replace your case system and does not require a system change. We do not promise deep integration into systems whose interfaces we do not know. What is possible for your system is something we establish before the start.
This is where things stand today. The data processing agreement, the obligation to secrecy, the technical and organisational measures and the list of sub-processors are provided before the start, in time for your notification to the supervisory authority. Whatever is still being built is named openly on our security page.
Secure & compliant
Processing on instruction (§ 80 SGB X)
Under German social data law, social data may only be processed in Germany, the EU, the EEA or a country covered by an adequacy decision. Scrypa processes in the EU and supplies the details on sub-processors so you can notify your supervisory authority before the contract starts.
Chain of confidentiality (§ 203 StGB)
German criminal law treats external IT providers as contributing persons. We accept a formal obligation to secrecy and pass that obligation on to our sub-processors, as a separate document alongside the data processing agreement.
Social secrecy (§ 35 SGB I)
Social secrecy protects the data of service users even inside the authority itself. Scrypa therefore works with role-based, case-related access rather than one shared inbox for the whole team.
Evidence and retention
Participant records and financial reports have to be available and auditable for the funder. The retention period depends on the programme, for ESF Plus it runs from 31 December of the year of the final payment, for de minimis aid considerably longer, and it is configured per organisation.
